Business Associate Agreement

Mental Health Medical Billing USA acts as a business associate to the practices it serves. A signed Business Associate Agreement is executed before any protected health information is accessed or processed.

Access Controls

• Access is limited to the systems and records needed to perform billing work
• Individual user accounts are used in client EHR, clearinghouse, and payer systems
• Access is reviewed during onboarding and removed promptly at offboarding

Secure Handling

• Protected health information is exchanged only through secure, agreed channels
• Work is performed inside client systems wherever possible
• Staff receive HIPAA awareness training appropriate to their role

The website contact form is not a secure channel for protected health information. Please keep patient identifiers and clinical detail out of web submissions and email, and use the secure channels established in your service agreement instead.
